Front Desk Studio builds websites and AI receptionists for local businesses. This page explains, in plain language, what information we collect, what we do with it, and how to reach us about it.
The short version
- We collect only what we need to reply to you, reach out to local businesses, and run the services our customers pay for.
- We don’t sell personal information, and we don’t use it for advertising.
- This website doesn’t use tracking or advertising cookies (see Cookie preferences).
- You can ask us to show you, correct or delete what we have about you at any time.
Information we collect
When you contact us
If you use the form on this site, we collect your name, your business name, your email address, your phone number (if you give it) and your message. We store it in our database and send a copy to our own inbox so we can reply. If you email or call us, we keep that conversation too.
Businesses we reach out to
We look for local businesses that could use our services. For that, we collect business information that is publicly listed — business name, address, business phone number, business email, website and category — from business directories and public listings. We use it to contact the business about our services, and to check things like whether the business already has a website.
Every email we send includes a link to stop hearing from us, and it works immediately. You can also just reply, call or email and ask us to stop — we’ll record that and won’t contact you again. If you reply to one of our emails, we keep your reply with that business’s record.
The AI Receptionist on our customers’ websites
When someone chats with an AI Receptionist on a business’s website, we process that conversation on the business’s behalf. The messages, and any name or contact details a visitor chooses to leave, are stored in our database and shown to that business so it can follow up. Chats are deleted automatically 90 days after the last message. If a visitor asks for a message to be passed on, it is also emailed to the business, and that copy is then kept by the business. To write the replies, each message is sent to our AI provider (Anthropic). Anthropic doesn’t use them to train AI models and deletes them within 30 days, except where its automated safety systems flag a conversation (kept up to 2 years) or the law requires longer.
Contact forms on our customers’ websites
When someone sends a message through a contact form on a business’s website that we run, we store it in our database and email it to that business so it can reply. We delete it automatically 90 days after it arrives; the emailed copy is kept by the business.
When you visit this website
This site doesn’t use analytics or advertising tools. Like any website, the company that hosts it may keep standard server logs (such as IP address and browser type) for security and to keep the site running.
How we use it
- To reply to you and prepare a free preview if you ask for one
- To contact businesses about our services, and to honor requests to stop
- To build, run and support the websites and receptionists our customers pay for, and to bill for them
- To keep our systems secure and to meet legal obligations
Who helps us handle it
We use trusted service providers to run the business. They handle information only to provide their service to us:
- Website hosting (Netlify) and domain services (Cloudflare)
- Our database (MongoDB Atlas)
- Email sending and receiving (Resend, and our own business inbox)
- AI processing: the AI Receptionist’s replies (Anthropic) and our own business research (Groq)
- Business listing data (Foursquare and Google)
- Running our automated tasks (GitHub)
We may also share information if the law requires it, or to protect our rights or someone’s safety.
How long we keep it
We keep information for as long as we need it for the purposes above, then delete it. AI Receptionist chats are deleted automatically 90 days after the last message, and contact form messages from our customers’ websites 90 days after they arrive. If you ask us to delete your information, we will — except that we keep a minimal record of a request not to be contacted, so that we can keep honoring it.
Your choices
Email nicholas@frontdeskstudio.us or call (312) 262-8274 to ask what we have about you, to correct it, to delete it, or to stop hearing from us. We’ll answer within 10 business days.
Children
Our services are for businesses. We don’t knowingly collect information from children under 13.
Changes to this statement
If we change how we handle information, we’ll update this page and the date at the top.
